What Consultants Check Before They Recommend Your College, and How to Pass
Admission consultants quietly test every college before putting it on a family's shortlist. This article shows colleges what experienced consultants check, from approvals and loan eligibility to refund practice, placement data, response time, payouts and hoste…
The quiet test most colleges never know they failed
Every consultant I respect runs the same test before a college goes on a family's shortlist. Nobody tells the college about it. If the college fails, it simply never comes up in the conversation, and the admission office wonders why enquiries from a whole district dried up.
I've been on both sides of this, counselling families and working with admission teams. Here's what the test actually looks like, roughly in the order consultants run it.

Check 1: are you who you say you are?
The basics come first. Is the university recognised by UGC in the category it claims? Is the programme approved by AICTE or the relevant council for this year? Is the name anywhere near UGC's list of fake universities, which named 32 institutions in February 2026?
You might think that's a formality for a real college. It isn't, because consultants have seen what happens when someone skips it. If your approvals are hard to find on your website, they'll assume the worst or quietly move on.
How to pass: put every approval letter, with year and intake, on one page of your website, and link to that page in every programme sheet.
Check 2: can the family afford you, loan included?
More and more, consultants ask one question early: "Is this college covered under PM-Vidyalaxmi?"
The Ministry of Education's July 2026 explainer says the scheme covers 1,425 quality institutions chosen using NIRF rankings: the top 100 in the overall, category-specific or domain-specific rankings, the top 200 state government institutions, and the remaining central government institutions. It offers collateral-free, guarantor-free education loans, with a 75% government credit guarantee on loans up to ₹7.5 lakh. In 2025-26 it sanctioned 70,852 loans.
For a middle-income family, that can decide between your college and the one down the road. And it's tied to NIRF. India Rankings 2025 drew 7,692 unique institutions, with 4,030 applications in the colleges category alone. A college that doesn't take part isn't even in the running for a rank, let alone PM-Vidyalaxmi coverage.
What consultants want to see from you:
- Whether you're covered under PM-Vidyalaxmi, stated clearly
- If you aren't, the bank tie-ups and scholarships you do offer
- Total cost for the full course, not just the first-year fee
Check 3: will you refund without a fight?
Consultants remember which colleges dragged their feet over refunds, and they know the rule. UGC's fee refund policy gives a full refund for cancellations up to 30 September and allows a deduction of no more than ₹1,000 up to 31 October. UGC's October 2025 notice keeps that policy in force for later sessions until it's revised. After those dates, the 2018 sliding scale applies.
If your prospectus says something different, consultants notice. If a family they placed had to fight you for a refund, they stop placing families with you. Simple as that.
Check 4: placement numbers that hold up
"Highest package ₹18 lakh" on a hoarding tells a consultant nothing. They want the median salary, the percentage placed out of those who were eligible and opted in, the recruiters who actually hired, and the number who went on to higher studies.
NIRF's Graduation Outcome parameter looks at placement and higher studies, median salary and university exam results. Consultants look at the same things, just less formally. Inflated numbers get found out, usually by a parent who knows someone from last year's batch.
How to pass: publish a one-page placement report with the median, the denominator and the recruiter names. Under-promise.
Checks 5 and 6: the phone and the payout
A consultant with a family on the line and a question about hostel seats will call the college once. If nobody answers, or the answer is "sir will call back", the family hears about another college within five minutes. That one missed call can cost you the student and every student that consultant would have sent after.
Payouts work the same way. Consultants talk to each other constantly. Colleges that delay or dispute payments get known quickly, and good consultants drop them without a word. You may never find out why.
How to pass: one named admission contact for consultants, with a backup, reachable in admission season including evenings, and written terms on what counts as a confirmed admission and when payment is made.
Check 7: hostel, transport and safety
Especially for daughters, and especially for families sending a child out of state. Room sharing, curfew, warden, mess menu, distance from the city, transport after evening labs. Consultants need all of it in writing, with real photos, because the mother on the other end of the phone will ask about every item.
What a consultant-ready college profile looks like
Put the answers above in one place and keep it current:
- Approvals with year and intake
- Full course fee, hostel fee and every one-time charge
- Scholarships, with conditions
- Loan options, including PM-Vidyalaxmi coverage if it applies
- Refund rules as per UGC
- A placement report with median and denominator
- A hostel sheet with photos and rules
- A named admission contact for consultants
How CollegeLinkr helps you pass the test
On CollegeLinkr, colleges are listed free after sharing their details and signing an agreement, and the listing puts your college in front of Members across India. The model is performance-based and set out upfront: you pay only on confirmed admissions, which settles Check 6 before it starts. Members counsel families, CollegeLinkr handles student guidance, document collection and form submission, and you receive pre-screened applications in a single dashboard.
That doesn't replace your own housekeeping on approvals, refunds and placements. It does mean consultants can find what they need about you in one place.
Your next step
Ask two consultants you already work with to run this seven-point test on your college and tell you honestly where you'd fail. Fix the two easiest gaps this month, and update your CollegeLinkr listing the same day.
